Receptionist/Administrative Assistant

Provide high level administrative support by conducting research, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, processing mail and maintaining office supplies. Must maintain confidentiality at all times.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Answer incoming telephone calls, determine purpose of caller, and forward to appropriate personnel or department.
Provide routine information as appropriate such as: answers questions about organization and provides callers with address, directions, and other information.
Welcome on-site visitors, determine nature of business and announce visitors to appropriate personnel or escort them to meeting rooms.
Review all incoming mail and electronic notifications related to the servicing of inforce business to ensure that the appropriate parties are notified to take action, as needed.
Proactively research available online communications relating to inforce business.
Process incoming and outgoing mail via U.S. Mail, FedEx, etc. including maintaining postage meter and supplies; monitor and maintain office supplies; schedule meeting and luncheons; etc.
Assist Administrator with administrative duties as required.
Provide support for New Business department as required.
Perform other duties as assigned by management.

EDUCATION AND/OR EXPERIENCE

Associate’s degree (A. A.) or equivalent from two-year college or technical school; and two years related experience and/or training; or equivalent combination of education and experience.

COMPUTER SKILLS

To perform this job successfully, an individual should have strong computer skills including the use of Microsoft Outlook, Word, Excel, and the Internet. Ability to learn and use other industry specific software, as required.

Ability to organize and prioritize responsibilities; ability to communicate effectively both verbally and in writing with management, co-workers and clients; ability to work under stressful and frequent time constraints; high level of mental alertness and self-motivated; ability to work effectively in an environment where the pace of work is rapid and changing; ability to evaluate, assimilate and utilize detailed and complex written or verbal technical information; ability to exercise sound judgment in business transactions.
